Terms & Conditions

Please read these terms and conditions carefully before booking or attending Sun & Soul Cyprus. By making a booking enquiry or reservation you agree to be bound by the following terms.
1. Bookings & Deposits
A non-refundable deposit of £80 per person is required to secure your place. Your booking is not confirmed until the deposit has been received and you have received written confirmation from Sun & Soul Cyprus. Places are limited and allocated on a first-come, first-served basis.
2. Balance Payments
The remaining balance is paid in set instalments as confirmed in your booking confirmation. Failure to pay on time will result in a £5 admin fee and could put your booking at risk of being cancelled and your deposit forfeited. Your payment plan is confirmed on your confirmation after booking.
3. Cancellations by You
All cancellations must be made in writing to [email protected]. Deposits are non-refundable under any circumstances. Cancellations received more than 12 weeks before the event: balance payments will be refunded in full. Cancellations received within 12 weeks of the event: 75% less the non-refundable deposit will be returned. Cancellations received within 8 weeks of the event: no refund will be issued. We strongly recommend you take out comprehensive travel insurance to cover cancellation costs. A cancellation fee of £25 will be charged. If it is a guest dropping out but the booking is to remain active, the cost will be recalculated on the remaining persons in the accommodation and the extra charged.
4. Cancellations or Changes by Us
In the unlikely event that Sun & Soul Cyprus must cancel or significantly alter the event due to circumstances beyond our control (including but not limited to force majeure, venue closure, or government restrictions), we will notify you as soon as reasonably practicable. In such cases we will offer either a full refund of monies paid or a transfer to a rescheduled event. We are not liable for any additional costs you may incur, including travel or accommodation booked independently.
5. Accommodation
Accommodation is allocated by Sun & Soul Cyprus and is subject to availability at the time of booking. Room type preferences will be taken into account but cannot be guaranteed. Accommodation is provided on a shared or private basis as specified at the time of booking. Check-in and check-out times are subject to the hotel's standard policies.
6. Included & Excluded Items
Your package includes the items listed on the Packages page at the time of booking. Flights, travel insurance, visa costs, and any personal expenditure are not included unless explicitly stated. Sun & Soul Cyprus reserves the right to substitute equivalent inclusions where necessary.
7. Behaviour & Conduct
All attendees are expected to behave in a respectful and responsible manner throughout the event. Sun & Soul Cyprus reserves the right to remove any person from the event or accommodation without refund if their behaviour is deemed to be disruptive, threatening, or harmful to other guests, staff, or the venue. Any damage caused to accommodation or venue property will be charged to the individual responsible.
8. Health & Safety
Attendees participate in all activities at their own risk. Sun & Soul Cyprus is not liable for any personal injury, illness, loss, or damage sustained during the event unless caused by our negligence. You are responsible for ensuring you are fit to travel and participate. We recommend consulting your GP before travelling if you have any medical conditions.
9. Travel Insurance
Comprehensive travel insurance is strongly recommended for all attendees and should cover cancellation, medical expenses, personal liability, and loss of belongings. Sun & Soul Cyprus accepts no liability for costs that would have been covered by adequate travel insurance.
10. Photography & Media
Sun & Soul Cyprus may take photographs and video footage during the event for use in promotional materials, social media, and the website. By attending the event you consent to being photographed or filmed. If you do not wish to appear in promotional material, please notify us in writing before the event.
11. Privacy
Your personal data will be collected and processed in accordance with our Privacy Policy and applicable data protection legislation. We will use your data only to manage your booking and communicate event information. We will not share your data with third parties except where necessary to deliver the event.
12. Governing Law
These terms and conditions are governed by the laws of England and Wales. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
